Microsoft Power Automate Alternatives (October 2026)
TL;DR: Microsoft Power Automate is the automation service in the Power Platform, with cloud flows, desktop flows for RPA, approvals and Copilot for building flows. It is licensed per user, per bot and per tenant, with a pay-as-you-go option. Swfte Studio is a managed builder for agents and workflows on the same platform as a model gateway. Keep Power Automate for Microsoft 365 plumbing and desktop automation; consider Swfte when the AI is the point.
About Microsoft Power Automate and why teams compare it
Microsoft describes Power Automate as an end-to-end automation solution built for enterprise. Its own pages list more than 1,000 API connectors, cloud flows, desktop flows for robotic process automation, approvals, process mining and Copilot for creating and editing flows in natural language. The product still carries this name today and sits inside the Microsoft Power Platform, next to Copilot Studio, which is where Microsoft places AI agents. Licensing is by user (Premium), by capacity (Process and Hosted Process, per bot) or by pay-as-you-go run, with Dataverse storage and AI Builder credits attached to some licences. Teams compare it with Swfte when their automations are mostly agents and model decisions rather than Microsoft 365 plumbing, or when they want testing and versioned releases around the AI steps. This page compares the two on published facts and says who should pick which.
Microsoft Power Automate sits in the Cloud and desktop automation in the Microsoft Power Platform category. In short: Microsoft’s automation service: cloud flows with 1,000+ API connectors, desktop flows for robotic process automation, approvals, process mining, and Copilot for building flows in natural language. Pricing as published is Per user and per bot, billed yearly. Premium $15.00 per user per month, paid yearly. Process $150.00 per bot per month, paid yearly. Hosted Process $215.00 per bot per month, paid yearly. Process Mining add-on $5,000.00 per tenant per month, paid yearly. A free trial is listed. A pay-as-you-go option is billed to an Azure subscription: $0.60 per run for premium cloud flows and attended desktop flows, $3.00 per run for unattended and hosted desktop flows (listed as preview). It is best for Organisations on Microsoft 365 and Entra that want cloud flows, approvals and desktop automation inside the Microsoft Power Platform.

Who should pick which
Pick Microsoft Power Automate if
- Your work lives in Microsoft 365, Teams, SharePoint and Dynamics. Microsoft says other Microsoft 365 and Dynamics 365 licences include a limited set of Power Automate capabilities, and approvals can be answered from Outlook and Teams.
- You need desktop automation. Power Automate documents attended, unattended and Microsoft-hosted RPA; Swfte Studio does not list desktop RPA on this site.
- You want the larger connector catalogue: Microsoft states more than 1,000 API connectors against 100+ tool integrations plus an API in Studio.
- You want Microsoft’s admin model: Entra sign-in, Managed Environments with data policies, customer-managed keys and Lockbox, and a listed HIPAA BAA scope.
- You want a per-user entry price (Premium at $15.00 per user per month, paid yearly) or per-run pay-as-you-go billed to an Azure subscription.
Pick Swfte if
- The work is agents and model decisions, and you want the builder and the model gateway on one platform.
- You want testing, versioned releases and rollbacks in the build flow rather than as a separate process.
- You want human-approval steps in workflows and role and tenant controls, with Nexus available next to Studio for agent governance.
- You are not tied to the Microsoft stack and want any model reachable through the Connect gateway.
- You are comfortable with Swfte’s current gaps: SAML SSO and SCIM are in development, dedicated or private deployment is scoped as an engagement and is not self-serve, there is no desktop RPA listed, and the integration catalogue is smaller.
What Microsoft Power Automate does well
- More than 1,000 API connectors plus custom connectors, per Microsoft
- Cloud flows, attended and unattended desktop automation, and Microsoft-hosted machines in one product
- Premium listed at $15.00 per user per month, paid yearly, and Microsoft documents a free licence for cloud flows with standard connectors
- Built-in approvals with five documented behaviours, answerable from Outlook, Teams or the Power Automate action centre
- Managed Environments add data policies, sharing limits, IP firewall, customer-managed keys and Lockbox, and are included with standalone Power Automate licences
Trade-offs to weigh
- Licensing has several parts: user licences, capacity licences per bot or flow, add-ons and a pay-as-you-go option, each with different entitlements
- Daily action limits apply, listed by Microsoft as 40k per user on Premium and 250k per Process licence
- AI agent building sits in Copilot Studio, which is billed in Copilot Credits rather than under a Power Automate licence
- We found no self-hosted edition; flows run in Microsoft’s cloud, and desktop flows run on a registered machine or a Microsoft-hosted one
When Swfte is the better choice
When the work is agents and model decisions, and you want evaluation, versioned releases and a model gateway on the same platform as the builder. Power Automate has the larger connector catalogue and desktop automation, which Studio does not list.
Swfte Studio builds agents and workflows visually, and uses the Connect gateway for model access, so routing, failover and cost tracking are shared. Studio lists testing and evaluation, semantic versions with rollbacks, and human-approval steps in workflows. Nexus adds agent governance.
Swfte is not a drop-in replacement for Power Automate. Power Automate has a much larger connector catalogue, desktop automation and deep Microsoft 365 integration. Swfte is earlier on enterprise identity: SAML SSO and SCIM are in development, and dedicated or private deployment is an engagement, not self-serve.
Where Swfte fits
Agents that decide, not just route
Workflows where a model chooses the next step, calls tools and may need approval fit Studio’s agent builder, with the gateway and governance on the same platform.
Tested and versioned AI steps
Studio lists A/B experiments between chatflow versions and version rollback, with golden sets, regression runs and release channels in development around the model steps.
One platform for workflows and model access
Studio uses the Connect gateway, so routing, failover and cost tracking are shared with the workflows that use them.
Keep Power Automate for Microsoft plumbing and RPA
Few teams need a full switch. Keep Power Automate for Microsoft 365 triggers, approvals and desktop automation, and use Swfte where an AI decision matters.
How to migrate from Microsoft Power Automate to Swfte
1. Inventory your flows by type and licence
List cloud flows, desktop flows and approval flows, and note which use premium connectors, which run unattended, and which licence covers each (Premium, Process, Hosted Process or pay-as-you-go). Microsoft documents different entitlements for each.
2. Mark the AI-centric flows
Flows where a model drafts, classifies, routes or decides are the candidates for Swfte Studio. Flows that depend on Microsoft 365 triggers or on desktop RPA are usually fine where they are, since Studio does not list desktop RPA.
3. Export for reference
Non-solution flows export as a .zip package from My flows; for several flows, Microsoft recommends solutions. We do not list an import for Power Automate packages or solutions, so treat the export as a record of triggers, actions and connections to rebuild.
4. Rebuild one workflow in Studio
Recreate the trigger, the agent or prompt, the tools and any approval step. Studio’s free plan includes 10 workflows, 5 agents and 2,000 executions per month, enough to test one case. Check each connector you rely on against Studio’s 100+ tool integrations and API.
5. Test on real inputs, then run both
Run 20 to 50 real inputs through Studio’s testing and compare with the flow. Then send live triggers to both for a while and compare outputs, failures and cost.
6. Cut over what fits
Move the AI-centric workflows once results hold, and keep Power Automate for the Microsoft-bound flows. Change your Power Automate licences only after the run counts drop.
How Microsoft Power Automate compares to other alternatives
Other workflow and agent builders worth comparing are Zapier (cloud automation with a wide app catalogue), Make (visual scenarios), n8n (self-hostable) and Activepieces. Microsoft’s agent builder has its own page, Copilot Studio. Each is in the alternatives index.

Frequently asked questions about Microsoft Power Automate alternatives
Is Swfte a Power Automate alternative?
For AI agents and AI-centric workflows, yes. For Microsoft 365 plumbing, approvals inside Teams and Outlook, and desktop RPA, Power Automate is the better fit: Microsoft states more than 1,000 API connectors, against 100+ tool integrations in Studio, and Studio does not list desktop automation. Many teams use both.
How much does Power Automate cost?
Microsoft’s pricing page lists Premium at $15.00 per user per month, Process at $150.00 per bot per month, Hosted Process at $215.00 per bot per month and a Process Mining add-on at $5,000.00 per tenant per month, each paid yearly. A pay-as-you-go option bills runs to an Azure subscription at $0.60 for premium cloud flow runs and attended desktop runs and $3.00 for unattended and hosted desktop runs, and Microsoft labels it preview.
Is there a free Power Automate plan?
Microsoft documents a Free licence for work or school accounts in a Microsoft Entra tenant. It covers cloud flows without sharing and local attended desktop flows, with standard connectors only. The pricing page also lists a free trial, and the licence docs describe a 90-day trial licence.
Is Power Automate included in Microsoft 365?
Microsoft says other licences across Microsoft 365, Dynamics 365 and the Power Platform include a limited set of Power Automate capabilities, and points to its Power Platform Licensing Guide for what each includes. Premium connectors, desktop flows and higher limits need a Power Automate licence or pay-as-you-go.
Can I import my Power Automate flows into Swfte?
No. We do not list an import for Power Automate packages or solutions. Microsoft lets you export a non-solution flow as a .zip package and export solutions, which is useful as a record of what to rebuild in Studio.
Can I self-host Power Automate?
We did not find a self-hosted edition on the pages we reviewed. Power Automate is a Microsoft cloud service; desktop flows run on a machine you register or on a Microsoft-hosted machine, and an on-premises data gateway is included with its licences. Swfte Studio is also a managed service; dedicated or private deployment is scoped as an engagement, not self-serve.
Does Power Automate support AI agents?
Power Automate has Copilot for creating and editing cloud flows, and AI Builder credits come with its licences. Microsoft’s agent builder is Copilot Studio, where agent flows consume Copilot Credits rather than a Power Automate licence; a Power Automate cloud flow can be converted to an agent flow, and the conversion is one-way. Studio lists agents and multi-agent orchestration. See our Copilot Studio page for that product.
Which is better for compliance?
Microsoft lists the Power Automate cloud service as in scope for its HIPAA Business Associate Agreement and points to its Trust Center and Service Trust Portal for audit reports. Swfte does not hold a SOC 2 report or an ISO 27001 certificate and does not sign HIPAA BAAs today; a SOC 2 Type I audit is in preparation, and the trust page has the current status. Ask each vendor for its documents and confirm scope for your use case.
