What is software integration?

Definition

Software integration is the work of connecting separate applications so they can share data and trigger actions in each other, making them behave like parts of one system. Red Hat defines integration as connecting data, applications, APIs and devices across an IT organisation. The connection can be a direct API call, a shared message queue or a platform that sits in between.

Every application a team adopts becomes another place where data lives. Without integration, the same customer exists in four systems with four slightly different addresses, and people spend hours reconciling them or copying updates across. Integration decides whether a new tool reduces work or adds a copy-and-paste step to everyone's week.

It also shapes how easy the next change is. Integrations built carelessly become a tangle that nobody dares touch, so replacing one application means rewriting every connection to it.

How it works

Red Hat traces how the approaches evolved. The earliest was point-to-point: each application customised to talk directly to each other one. That works for two or three systems but becomes tedious and error-prone as the count grows, because every new system needs a connection to every existing one.

The enterprise service bus answered that by putting a central layer in the middle, abstracting messages and routing them between services. Newer approaches spread integration out again, using APIs, lightweight services running in containers and event messaging, so teams can build and change connections independently.

Whatever the architecture, a single integration has the same pieces: a way to detect a change (an event, a webhook, a schedule), a way to read the data, a mapping that turns one system's fields into another's, a way to write the result, and handling for failures. Integration platforms package those pieces so each new connection does not start from scratch.

Worked example

Worked example: support tickets and the product backlog

A software company's support team works in a helpdesk tool and its engineers work in an issue tracker. Without integration, a support agent copies bug reports into the tracker by hand and checks back for updates. With integration, tagging a ticket as a bug creates an issue in the tracker with the customer's description, the product version and a link back to the ticket.

When an engineer closes the issue, the integration adds a note to the ticket and reopens it for the support agent, who tells the customer. The two systems keep their own data and their own users. The integration carries only the fields each side needs, in both directions, and logs each transfer so a missing update can be traced.

Common questions

What is the difference between software integration and system integration?
The terms overlap heavily. Software integration usually means connecting applications so they exchange data and actions. System integration is often broader, covering hardware, networks and whole business systems brought together as one, and it is also the name of a consulting trade. In everyday use, many people treat them as the same.
What is point-to-point integration?
Point-to-point integration connects each pair of applications directly, with custom code for every link. It is quick for two systems. Red Hat notes that it becomes tedious and error-prone as systems multiply, because each new application needs its own connection to every application it must talk to.
Do I need a developer to integrate software?
Not always. Many applications offer native integrations you switch on, and visual integration tools let non-developers connect common applications through prebuilt connectors. You need a developer when a system has no connector, when data needs complex transformation, or when the integration carries high volumes or sensitive data that needs careful handling.
How do I keep integrations from breaking?
Give each integration an owner, log every run, and alert on failures rather than waiting for users to notice. Prefer documented APIs over screen scraping or direct database reads, pin to API versions where the vendor allows it, and retest integrations when either connected application announces a change.
